Guestroom Requirements
The Mayfield Inn & Suites has reserved a block of guestrooms for attendees with check-in on May 11, 2003 and check-out on May 14, 2003.

They are pleased to confirm the following per-night room rates for the Meet the North Conference and Exposition:

50 Rooms Government Block $92.00
Superior Single/Double $104.00
Deluxe Single/Double $109.00
Standard Suite Single/Double $139.00
8 Executive Suites Single/Double $249.00 (hospitality suite)

Children under 18 years of age stay free in their parents' room. If any Superior Rooms become available, the block of Superior rooms will be increased.

Rates are net non-commissionable and exclusive of tax (5% Alberta tax and 7% GST). The Mayfield Inn & Suites would be happy to guarantee conference rates one year in advance.

Tax and Service Charges
All room rates are subject to applicable taxes. All tax structures and percentages are subject to change without notice. Non-residents of Canada are eleigible for an exemption from the 7% Good and Services Tax (room portion only) upon completion of an Assignment of Rights to Short Term Accommodation.

Pre and Post Dates
The Mayfield Inn & Suites will extend the above group rates, three days before and three days after the contracted convention dates, subject to guestroom availability.

Check-In/Check-Out
Check-In time is 3:00pm. While every effort is made to accommodate guests arriving before the check-in time, rooms may not be available. Luggage may be held at our Front Desk until the guestrooms are ready.

Check-out time is 11:00am. Requests to retain rooms beyond that hour should be directed tot eh Front Office Manager and may be subject to a late departure charge. Luggage may be held at our Front Desk until the time of departure.

Individual Delegate Reservations
a) Individuals are required to reserve their guestrooms with one of our Reservation Agents. We offer two reservation numbers:

b) Reservations require a valid major credit card number, or a cheque or money order made payable to the Mayfield Inn & Suites. Deposits should reach the hotel a minimum of 45 days prior to arrival.

c) Should you wish, the Mayfield Inn & Suites would be pleased to supply your office with a fax-back reservation form for your use. They will be printed with the name of your organization, dates of your meeting and group room rates. As soon as the Hotel receives the completed cards, confirmation will be forwarded at the delegate's request.

Guestroom Block Release Date
The Hotel agrees to hold the above-noted room block until January 15, 2003. At that time, rooms not covered by a rooming list or individual reservations will be released from the room blocka nd the Hotel shall have the right to resell any such rooms so released. The Hotel will continue to accept reservations from attendees after that date at the group's room rates, subject to availability. Rooms can be held beyond the cut-off date should your organization wish to provide a written guarantee for such rooms for the entire length of stay.

Deposit
A deposit equal to one night's stay is required to hold each individual's reservation. Such deposit shall serve to confirm the reservation for the dates indicated, and upon check-in, shall be applied to the first night's reserved stay. A personal cheque, money order, or a valid American Express, Visa, Mastercard, Diners Club, or Carte Blanche card number and expiry date is acceptable. Should a guest cancel a reservation, the deposit is refundable if notice is received at least 24 hours prior to arrival and the cancellation number is obtained.

For Individual Bookings
Guests cancelling their own reservations, in whole, or in part, after the cancellation date will not receive any refund of their advance deposit. Guests cancelling before 48 hours of May 11, 2003 will receive a full refund.
